Position Title: PDC Family Center Events Coordinator
Reports to: Director of Outdoor Ministries - Pilgrim Day Camp and Family Center
Department: Outdoor Ministries
FLSA: Non-Exempt, Part Time
Hours: 20-25 hours a week
Hourly Rate: $22-$25/hourly
Location: Hybrid - in-office Monday & Friday mornings during the school year; remote weekday hours as needed; weekend availability year-round, on-call requiredPosition Summary
The Family Center Events Coordinator is the primary point of contact for birthday parties, private events, program inquiries, and day-to-day guest services at the Pilgrim Day Camp Family Center. This role serves as lead planner for the annual Fall Festival and the event day manager from start to finish. The Family Events Coordinator owns the full lifecycle of all events, from first inquiry to post-event follow-up. During the summer, the role shifts primarily to remote work with continued weekend presence for events and preparation for Fall Festival.
Key Duties & Responsibilities
Front Desk & Guest Services
Serves as the on-site point of contact during Monday and Friday indoor playground hours.
Greets families, manages check-ins and client communications; promptly and professionally answer phones and emails throughout the week; and conduct tours of event spaces.
Routes inquiries to the appropriate team member and represent PDC with warmth and professionalism.
Sends monthly newsletters and creates marketing materials including promotional content for social media and email.
Tracks event bookings, payments, and client data; updates the PDC website and campus calendar.
Birthday Party & Event Coordination
Coordinates all birthday party and private event inquiries from first contact through post-event follow-up.
Serves as on-call point person and is present during birthday parties and events to ensure the event occurs according to event planning goals.
Ensures accounts payable and receivables are in order; books events, sends contracts and invoices for payment, collects deposits and maintains party calendar.
Prepares party add-ons, maintains supply inventory, and ensures all spaces are event-ready.
Hires, trains, schedules, and supports part-time party attendants/part-time staff under the supervision of the Director for PDC.
Be on-call and present during weekend events to ensure seamless execution; communicate hours to the Administrator each Monday.
Coordinates with the maintenance team to ensure thorough post-event cleanup and that all spaces are left in proper condition.
Sends pre-party preparation emails and post-event survey follow-up communications.
Tracks revenue, invoices, and payments accurately with strong attention to detail.
Serves as event day manager of the Fall Festival; directs volunteers to their posts, guides vendors to assigned locations, manages schedule of the day’s activities, and acts as the primary on-site point person from setup through the breakdown of the event.
Qualifications
Required
Experience in event coordination, hospitality, venue management, or related field.
Ability to maintain a warm and professional demeaner both virtually and in person with families and walk-ins.
Strong organizational skills with the ability to manage multiple active client relationships.
Experience hiring, scheduling, and leading part-time staff.
Proficiency with Microsoft Teams, Outlook, Excel, Google Calendar, Square (or similar), and MailChimp.
Preferred
Experience tracking revenue, invoices, or financial data with strong attention to detail.
Experience with WordPress or website management.
Familiarity with children's programming or family-centered environments.
Experience with volunteer coordination and community engagement.
Physical Requirements
Data Utilization - Requires the ability to review, classify, categorize, prioritize, and/or analyze data, and/or information. Includes exercising discretion in determining data classification, and in referencing such analysis to established standards for the purpose of recognizing actual or probable interactive effects and relationships.
Equipment, Machinery, Tools, and Materials Utilization - Requires the ability to use computer hardware and software and database systems in regular performance of job duties.
Verbal Aptitude - Requires the ability to utilize a wide variety of reference, descriptive, and/or advisory data, and information.
Mathematical Aptitude - Requires the ability to perform addition, subtraction, multiplication, and division; ability to calculate decimals and percentages; may require ability to utilize principles of fractions and/or interpret graphs.
Functional Reasoning - Requires the ability to apply principles of influence systems, such as motivation, incentive, and leadership. Ability to exercise independent judgment to apply facts and principles for developing approaches and techniques to problem resolution.
Situational Reasoning - Requires the ability to exercise the judgment, decisiveness, and creativity required in situations involving the evaluation of information against sensory, judgmental, or subjective criteria, as opposed to that which is clearly measurable or verifiable.
ADA Compliance
Physical Ability - Tasks involve the ability to travel to meetings outside the office, exert moderate physical effort, and may involve some lifting, carrying, pushing and/or pulling of objects and materials up to 20 pounds. Tasks may involve extended periods of time at a keyboard or workstation and/or repetitive motion.
Sensory Requirements - Some tasks require visual perception and discrimination. Requires oral communications ability.
Environmental Factors - Tasks are occasionally performed with exposure to adverse environmental conditions, such as dirt, dust, pollen, odors, wetness, humidity, rain, fumes, temperature and noise extremes, machinery, vibrations, electric currents, traffic hazards, animals/wildlife, toxic/poisonous agents, or pathogenic substances.

Teacher Led Barnyard Playgroups!
Barnyard Adventure Playgroups encourage an early introduction to nature and agriculture. Children under the age of five will be introduced to goats, rabbits, and chickens while parents or caregivers are close by. Our outdoor areas will provide opportunities for exploration and learning about the natural world around them. Children and their adults should dress for the weather and to get dirty.
Our amazing teacher Courtney will run playgroups on Monday’s and Thursday’s.
9:30-10:30 and 11:00-12:00 (choose the time that works best for your family!)
$20 per child/parent
She’ll lead the playgroups in:
- Storytime
- Singing songs
- Animal Snuggles
- Nature Based Exploration & Play

What to Expect
Our indoor playground is different than a lot of indoor spots in the area. We want our kids to have fun, but we also want the parents, guardians, babysitters, grandparents etc to be able to sit have a coffee and relax as well. We will have a free coffee bar , free WIFI, and spaces to sit around the indoor playground so that you can possibly get some time to answer those e-mails or work while your kids stay busy.
Outdoor Playground
Not only will we have our Indoor playground, but we will also have opportunities for outdoor fun as well! We will have barnyard animals, slip and slides, and outdoor slides, power cars, and little bikes for when the weather is nice! It’s all just $12 to experience the inside or outside activities.
Private play
You can reserve the barn to yourself and for your friends for an hour for $100. We’ll be posting our calendar with available times and dates!
Classes
We plan on hosting free classes like baby yoga, reading time, music and more! We also will be providing paid weekly classes like barnyard animal time and more! Are you interested in providing classes at our center? Send us an e-mail and we would love to work with you!

So many parents ask if we could provide birthday parties and events at PDC and now we can when the Indoor Playground opens.
